As a Reception & Admin Assistant at KPCA, you will be the first point of contact for our clients and visitors, creating a welcoming environment while ensuring seamless administrative support. Your role is crucial in enhancing operational efficiency and contributing to a positive company image.

What You'll Do:

  • Greet and assist clients and visitors, ensuring a friendly and informative experience that promotes KPCA’s professional reputation.
  • Manage phone calls and inquiries, directing them to the appropriate departments to enhance communication flow and reduce response time by 20%.
  • Schedule appointments and manage calendars for team members, optimizing scheduling efficiency and reducing conflicts by 15%.
  • Maintain accurate records and filing systems, ensuring easy retrieval of information and supporting a streamlined administrative workflow.
  • Prepare and distribute internal communications and reports, contributing to improved team collaboration and information sharing.
  • Support the finance department with invoicing and expense tracking, helping to maintain accurate financial records and achieve timely reporting.
  • Assist with office supply inventory and purchasing, ensuring a well-stocked environment that minimizes operational disruptions.

Required Qualifications:

  • High school diploma or equivalent; additional administrative certifications are a plus.
  • Proven experience in a receptionist or administrative role, with a track record of providing exceptional customer service.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable using office equipment.
  • Strong organizational skills with the ability to manage multiple tasks and prioritize effectively.
  • Excellent verbal and written communication skills, with a focus on professionalism and clarity.
