As a Front Office Assistant at KPCA, you will be the first point of contact for our clients and visitors, providing a welcoming environment that enhances our professional image. Your role is crucial in ensuring smooth daily operations, supporting team efficiency, and contributing to a positive client experience.

What You'll Do:

  • Greet and assist clients and guests, ensuring a professional and welcoming atmosphere that reflects KPCA’s values.
  • Manage incoming calls and emails, directing inquiries to the appropriate team members to maintain a response time of under 24 hours.
  • Schedule appointments and coordinate meeting rooms, ensuring optimal use of resources to enhance productivity.
  • Maintain organized front office operations, achieving a 95% satisfaction rate in client feedback regarding reception services.
  • Process incoming and outgoing mail and packages, tracking deliveries to ensure timely receipt and dispatch.
  • Support administrative tasks such as filing, data entry, and document preparation, contributing to overall team efficiency.
  • Monitor office supplies and place orders as needed, maintaining inventory levels to prevent shortages and ensure smooth operations.

Required Qualifications:

  • High school diploma or equivalent; additional education in office administration is a plus.
  • Proven experience in a front office or administrative role, preferably in a professional setting.
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook) and comfortable learning new software.
  • Strong communication and interpersonal skills, with the ability to interact positively with diverse individuals.
  • Excellent organizational skills with attention to detail, capable of managing multiple tasks simultaneously.

Nice to Have:

  • Experience with customer relationship management (CRM) software or similar tools.
  • Knowledge of office equipment and basic troubleshooting skills.
  • Bilingual abilities in English and another language, enhancing communication with a broader client base.
  • Familiarity with basic bookkeeping or financial processes.
