KPCA is seeking a highly organized and proactive Executive Administrative Assistant to provide comprehensive support to our executive team. As the Executive Administrative Assistant, you will be the backbone of daily operations for senior leadership, ensuring seamless communication, scheduling, and project coordination. Your contribution will directly impact the productivity and effectiveness of KPCA’s executive office.
Key Objectives
- Provide high-level administrative support to executive leadership.
- Manage complex calendars, meetings, and travel arrangements.
- Facilitate smooth communication between executives, internal teams, and external partners.
- Coordinate and prepare materials for meetings, presentations, and reports.
- Support special projects and initiatives as needed to drive organizational goals.
Responsibilities
- Maintain and organize executive calendars, scheduling appointments and meetings efficiently.
- Coordinate domestic and international travel logistics, including itineraries, accommodations, and expense reporting.
- Prepare, proofread, and format correspondence, presentations, and reports with a high level of accuracy.
- Serve as a liaison between executives, staff, clients, and external stakeholders, ensuring timely communication.
- Manage confidential information with utmost discretion and professionalism.
- Assist in planning and executing company events, board meetings, and special projects.
- Monitor deadlines and follow up on action items to ensure timely completion.
- Perform general office duties such as ordering supplies, managing files, and maintaining office systems.
Qualifications
- Minimum of 3 years’ experience supporting C-level executives or senior management.
- Exceptional organizational and time management skills with strong attention to detail.
- Excellent written and verbal communication abilities.
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and comfortable with virtual collaboration tools.
- Ability to multitask and prioritize in a dynamic, fast-paced environment.
- Discretion and integrity in handling confidential information.
- Strong problem-solving skills and a proactive approach to anticipating executive needs.
- Associate’s or Bachelor’s degree preferred but not required.
