EXECUTIVE ASSISTANT/SCHEDULER - NY

Fenton- the leading social change agency - seeks an experienced executive assistant who will be responsible for supporting executive leadership including the CEO in the New York office.
  
The New York office focuses on issue advocacy campaigns, branding, messaging and engagement programs for non-profits, communications support for foundations, corporate social responsibility initiatives and cause marketing campaigns. Our clients include political/advocacy groups, government agencies, nonprofits, foundations and corporations.
  
The ability to interact with staff at all levels in a casual, fast-paced environment, while remaining proactive, resourceful, with a high degree of professionalism and efficiency is critical to this role. The ideal candidate should have 4-5 years of administrative experience and be very flexible, organized, trustworthy, and able to work in teams or self-direct day-to-day activities. This is an ideal position for someone interested in social change, advocacy and progressive causes.
  
The Executive Assistant will likely be privy to a wide variety of situations and conflicts involving executive scheduling, client contracts and services, accounting issues, staffing issues, and high-level business/management concerns. Confidentiality is required.
  
Essential Responsibilities/Duties:
Manage executive schedules including meeting and event planning
Follow up to ensure schedule is being followed
Make travel arrangements
Serve as main interface with vendors, including negotiating services
Create, format, and/or edit presentations, proposals and PR materials including Keynote slides, marketing materials, low-level desktop publishing projects
Professional email correspondence
Assist with upkeep of our CRM database (Salesforce)
Manage marketing outreach; track response and next steps
Conduct internet and industry research
Screen calls
Set up and facilitate conference calls
Prepare expense reports
Perform errands as needed
Other clerical, technical & office support duties as assigned
Essential Qualifications:
Must have a pleasant and professional phone manner and able to juggle multiple priorities
Must be organized and detail oriented
Must have strong written and oral correspondence skills
Must be able to exercise discretion when dealing with politically sensitive material
Willing to learn basic office equipment maintenance and office systems
Working knowledge of computers, Microsoft Word, PowerPoint and Excel, Outlook, mobile apps and Internet is required
Experience in a networked, office environment will be helpful
Have strong research, writing, and editing skills and be good with numbers
Excellent organizational, interpersonal, and time management skills
Comfort and poise when interacting with prominent human rights donors, advocates, and VIPs
