Position Description
The Development Assistant will work with the Director of Development, California (DOD West), primarily focusing on individual giving and development events, and s/he also will be part of a 10-person development team in Boston. The Development Assistant will report to the DOD West and provide administrative support to this position. This full-time job, based in San Francisco, CA, is an excellent entry-level position for an individual with an interest in climate change and sustainability who would like to build skills and experience in individual giving, development operations, events, and donor relations. Specific duties include, but are not limited to the following.
Development Operations
Manage the maintenance of up-to-date donor contact information records in Salesforce, including reviewing donor data for accuracy and reporting, developing reports from Salesforce on west coast donors and prospects, and working with the Boston development staff to develop organization-wide donor reports.
Support annual fund activities as needed, including direct mail and email solicitation, monthly donation maintenance, and donor stewardship efforts.
Support DOD West with regard to IT/systems affecting development.
Carry out administrative tasks as needed, including logistics for meetings and conferences, materials preparation, and record keeping.
Provide support as requested at organization-wide program events, such as the Ceres Conference or Investor Summit.
Foster West Coast development team culture and camaraderie through department lunches, gatherings and celebrations.
Act as liaison between CA and Boston development teams.
Individual Giving
Research donors, prospects, gatekeepers and funding organizations and affinity groups
Prepare major donor and funder reports, proposals, briefings and calls as needed.
Support ongoing stewardship and communication with the Ceres 1000 donor community, including news updates, event invitations and other engagement opportunities.
Manage donor acquisition and awareness activities, including direct and email outreach.
Support Boston staff for development-related meetings and briefings for west coast trips.
Support tracking and assessment of donor appeal and acquisition outcomes.
Development Events
Manage West Coast event preparation, including compiling invitation lists, working with outside vendors on event logistics, tracking responses, and developing attendee profiles.
Manage West Coast event ticket and sponsorship processing and ensure fundraising event tickets and sponsorships are accurately recorded in Salesforce.
Provide staffing and logistical support at development events.
Process acknowledgement letters for West Coast event tickets, support thank you and follow-up outreach.
Support tracking and assessment of event outcomes.
Requirements
One to two years of full-time work experience, beyond Internships, in an office setting. Prior development experience in a nonprofit setting is a plus.
Prior administrative experience desired
Desire to learn and develop expertise in donor database platforms required and proficiency with a donor database platform a strong plus.
Polished communication and interpersonal skills with external constituents
Strong organizational skills and excellent attention to detail
Ability to act with diplomacy with constituents and maintain a high degree of confidentiality
Work well both independently and collaboratively within a team setting.

Description & Responsibilities
The Associate is a key member of the Finance team in its efforts to support the organization’s program activities. Serve as a resource to Ceres staff, contractors, and sub-grantees to distribute and explain materials related to finance policies and procedures. Provide financial orientation to new staff.
Serve as a resource to Ceres staff for Abacus Expense Management and Abacus Travel; responsible for making administrative changes and updates in Abacus related to staffing changes and finance policies. Perform any necessary follow up for missing or incomplete information.
Accounts Payable: Collect and review submitted expense request forms and invoices from staff for contractors and sub-grantees. Check financial coding, enter into Intacct accounting system and enter applicable journal entries; to be reviewed by Finance Manager. Perform any necessary follow up for missing or incomplete information; obtain signatures for checks and mail; file all forms and invoices.
Review staff credit card expenses and staff reimbursement requests in Abacus Expense Management. Check financial coding, ensure finance policies have been met, and approve for integration into Intacct accounting system.
Maintain a log of all outstanding consultant contracts and compare submitted invoices to such contracts. Collect and review all contracts for accuracy and completeness; obtain appropriate signatures; assign contract numbers; scan and e-file on the Ceres’ server.
Maintain current finance documents on the Ceres’ server and organizational database; maintain all finance Google docs; maintain and update subscriptions excel workbook.
Create weekly finance team meeting agenda; adding items for review and updating for completion of tasks.
Schedule monthly budget to actual meetings with budget managers and finance team; download reports from Intacct; edit and format reports and upload to the Ceres’ server and organizational database prior to meetings.
Assist in creating spreadsheets for annual budget process.
Schedule grant projection meetings and Finance Committee meetings and take notes in these meetings.

The Ceres Events & Sponsorship team is responsible for planning, organizing and executing the annual Ceres Conference (a signature event), the biennial Investors Summit, anniversary special events and other day/half-day events throughout the year. Tracks and records the status of litigation, rulemakings, etc. to enable access to legal and technical resources by the network of attorneys and allied organizations collaborating on Sierra Club campaigns.
Administrative
Performs a range of administrative and clerical duties which include scheduling, invoice processing, reimbursements, travel logistics, copying, collating, faxing, supply ordering, filing, event planning and organizing for ELP, ELP email administration, mail pickup, and managing various spreadsheets for general program information.

The Covanta Environmental Solutions (CES) Internship program allows talented individuals to join the Covanta team and gain knowledge and experience about the Energy from Waste (EfW) industry and the processing of Non-Hazardous Waste streams. With a Trump presidency, state-based climate action has never been more important. It’s the collective fortress of the environmental movement. And state-based, people-powered, climate action is what we do here at the Chesapeake Climate Action Network (CCAN).
We’re the largest and oldest grassroots group fighting for bold and just solutions to climate change in the Chesapeake region of Virginia, Washington DC, and Maryland.
We’ve put a stop to new coal plants in Virginia, brought 100% clean power to Washington DC, and fully banned fracking in Maryland.
OUR CAMPAIGNS
In 2020, we’re going to keep fighting: to stop massive fracked-gas pipelines across the farms and forests of Virginia, to bring a Green New Deal to Maryland, and to make DC a national leader on climate action — right in Trump’s backyard.
We and our 70,000 supporters surrounding the nation’s capital are going to keep building the powerfully diverse grassroots climate movement our region needs – building local resistance, raising our voices, taking concrete action.
And under a Trump presidency, we’ll be fighting for more than energy justice. Trump is a threat to all of our progressive values and we will work with our progressive allies across the region for paid sick days for all workers, an increased minimum wage, and more. We will pitch in wherever we can.
OUR COMMUNICATIONS INTERNSHIP
Interns at CCAN work side-by-side with our experienced communications experts to create compelling content and run impactful media campaigns across our region. They gain valuable experience for careers in the communications and media industries.
