Position:              Office Coordinator

Schedule:            Part time (3-4 days per week), typically working 7am-4pm or 8am-5pm 

Location:             Wahiawa, Island of Oahu, north of Mililani (near Dole)



Responsible for general office and client administrative functions by performing the following duties.



  • Process and maintain employee time sheets, records and files
  • Answer and screen incoming calls using professional communication skills
  • Utilizing Excel, track, record and enter client, contract and  employee  data
  • Organize, prepare and maintain contracts
  • Maintain client account information including billing/invoicing, work reports and balances
  • Manage accounts receivables
  • Maintain manual and electronic files
  • Operate office machinery
  • Accurately use office software and programs 
  • Manage and order supplies
  • Follow all company policies and procedures



  • Customer Service  - provide excellent client experience
  • Computer Skills – strong and proficient user MS Office Suite (Excel, Outlook, Word) 
  • Communication – strong verbal, writing and listening skills (speak clearly; competently express clear information by typing (keyboarding) or hand writing;  accurate spelling is key;  intently listen and interpret oral information and directions)
  • Organizational Savvy - must be reliable, focused, thorough and organized. Ability to prioritze and complete deadlines is key.
  • Data Entry - must be detail oriented and focused when inputting information into Excel, timesheet, computer systems, etc. 


Education and Qualifications:

  • To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
  • Minimum of two years’ experience in office processes and office administration procedures, or equivalent education is preferred
  • Bi-lingual in English / Filipino  is beneficial


Computer Skills:

Proficient in MS Office and other computer or software programs is necessary to complete job duties


Language Ability:

Read, analyze, and interpret general business periodicals, professional journals, technical procedures, and governmental regulations. Write reports, business correspondence, and procedure manuals. Effectively present information and respond to questions from groups of managers, clients, customers, and the general public..


Math Ability:

Perform basic arithmetic computations.


Reasoning Ability:

Solve practical problems and identify a variety of multiple variables in varied situations. Interpret a variety of instructions furnished in written, oral, diagram, or schedule form.
