Environmental Defense Fund is seeking a Program Associate who will provide administrative leadership and project-coordination support for the Associate Vice President of EDF’s Oil and Gas Program to ensure the most effective project implementation possible. She/he will implement and maintain systems and processes to coordinate the project’s contracts and pass-through grants; plan meetings, workshops and other events; provide high-level administration support related program and project budgets, including monthly reconciliation and forecasting; and coordinate and independently execute assigned development activities, including periodic donor reports and calendars. She/he will also provide high-level administration support to other senior team members, as directed by the Associate Vice President.
Close collaboration and independent judgment are required to help plan, prioritize and organize the workload within this busy program. This is an excellent opportunity to develop core management, organizational and communications skills in support of a transformational advocacy campaign on a complex environmental and energy issues.Key Responsibilities
Provide administrative, logistical and project support for the Associate Vice President, as needed. Manage and schedule meetings, conference calls and video conferences, process expense reports & American Express statements, create PowerPoints and other materials, and assist with travel arrangements, as needed. Coordinate with and mentor temporary clerical support staff.
Administer contracts for consultants, including writing, processing contracts, and working with program staff and consultants to ensure the obligations of contracts are fulfilled and invoices are submitted in a timely fashion. Oversee expense reporting and invoice processing. Follow through with Finance staff to ensure these payments are timely made and accurately reflecting in the project’s financials.
Maintain well-organized and accessible electronic and paper files
Apply excellent organizational, communication and planning skills in preparing written products, responding to information requests, and helping coordinate and track activities among staff members
Attend internal and external meetings and document and track key takeaways, next steps, and resource or research needs
Assist with research and analysis related to key program goals
Collaborate on preparation and distribution of reports and other written materials
Coordinate, with Associate Vice President of Oil & Gas, the preparation of proposals, reports, talking points and other donor materials. Draft reports when needed, and coordinate program staff in the production of materials
Maintain and update file libraries/archives for team. Proactively manage and improve the Project Space and/or other platforms for managing files.
Take on special projects as assigned.Qualifications
Bachelor’s degree is required
At least 2 years of work experience in fast-paced, detail-oriented environment
Meticulous attention to detail and organizational abilities
Creativity, energy, and the ability to multi-task and get work done under pressure.
Excellent oral and written communications ability
Strong research skills
Ability to work independently, and successfully handle and prioritize diverse, simultaneous tasks
Interest in environmental advocacy is preferred
Proficiency in the use of IBM PCs and Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, etc.)
An understanding of and commitment to Environmental Defense Fund’s mission of protecting public health and the environment.Location
